With the Revised Standards for RTOs coming into effect from 1 July 2025, it’s crucial to start preparing now to ensure your RTO remains compliant. Follow these step-by-step actions to begin:

Step 1: Understand the New Standards

Read and Familiarise Yourself

  • Review the Outcome Standards, Compliance Requirements, and Credential Policy.
  • Identify key changes from the 2015 Standards to the 2025 version.

📌 Tip: Focus on sections related to training & assessment, student support, governance, and compliance.

Step 2: Conduct a Self-Assessment of Your RTO

Evaluate Current Practices

  • Compare your current policies, processes, and training methods against the new requirements.
  • Use ASQA’s self-assessment tools (or create an internal compliance checklist).

📌 Key Areas to Review:
✔️ Trainer & Assessor Credentials – Ensure trainers meet new requirements.
✔️ Assessment Systems – Check alignment with the Principles of Assessment and Rules of Evidence.
✔️ Industry Engagement – Strengthen collaboration with employers and industry bodies.

Step 3: Update Your Policies and Procedures

Revise Compliance Documents

  • Update policies to reflect new governance, training, and student support requirements.
  • Ensure alignment with AQF certification, student identifier management, and transition of training products.

📌 Key Policies to Review:
✔️ Marketing & Advertising (Ensure accuracy and transparency)
✔️ Student Support & Wellbeing (Strengthened inclusion & complaint handling)
✔️ Training & Assessment Strategies (TAS) (Ensure quality & industry relevance)

Step 4: Train Your Staff

Educate Your Team on the Changes

  • Conduct staff training sessions on the new Standards.
  • Ensure trainers and assessors meet credential requirements outlined in the Credential Policy.

📌 Tip: If trainers need to upgrade qualifications, plan enrolments now to avoid delays.

Step 5: Strengthen Student Support & Engagement

Improve Student Experience

  • Review and enhance student support services (inclusion, wellbeing, complaints & appeals).
  • Implement better feedback mechanisms to track student satisfaction and outcomes.

📌 Action: Ensure students are aware of Recognition of Prior Learning (RPL) and Credit Transfer options.

Step 6: Implement Stronger Governance & Compliance

Ensure Readiness for Audits & Reporting

  • Prepare for Annual Declarations on Compliance.
  • Ensure financial viability risk assessments are in place.
  • Review and document third-party arrangements if applicable.

📌 Tip: Assign a compliance officer or internal auditor to monitor ongoing improvements.

Step 7: Transition Plan & Final Checks

Create a Transition Plan for Full Compliance by 1 July 2025

  • Set milestones for each compliance area (e.g., staff training by December 2024, policy updates by March 2025).
  • Conduct internal audits before the Standards take effect.

📌 Action: Engage with ASQA webinars, industry updates, and professional networks for further guidance.
